Refund and cancellation policy
This policy covers consulting engagements with Service Cedarbase Co., Ltd. for human resources policy consulting for growing SMEs — including policy frameworks, handbook rewrites, health checks, and manager briefings. It does not cover physical product sales or software subscriptions because we do not offer those.
Eligibility
Refunds apply to prepaid fees for engagements that have not started, or to unused portions of fees when cancellation occurs under the conditions below. Informational site browsing has no charge and no refund.
Timeframe to request
Send refund or cancellation requests in writing to hello@service-cedarbase.click within 14 days of the event that triggers the request (for example, your cancellation notice or our notice that work cannot proceed).
Full refunds
A full refund of prepaid fees is available if you cancel in writing before the kickoff call and before any document intake review has begun. If we cancel an engagement before kickoff for reasons within our control, prepaid fees are refunded in full.
Partial refunds
If you cancel after kickoff but before the first draft delivery, we refund prepaid fees minus work already performed at the rates stated in the engagement letter, including discovery interviews already held. After first draft delivery, prepaid fees for completed stages are non-refundable; unused future stages may be refunded if the engagement letter priced them separately.

- Completed discovery interviews and findings workshops
- Delivered draft packages and final sign-off packs
- Manager briefings already facilitated
- Third-party meeting room fees already paid on your behalf when booked at your request
Deposits
Project deposits secure scheduling. Deposits become non-refundable once the kickoff call occurs, except when we cancel the engagement before delivering any work product.
Cancellation and rescheduling
You may reschedule a manager briefing or workshop once at no charge with at least five business days’ notice. Later changes may incur a rescheduling fee of 20% of that session fee. Cancellations inside five business days for briefings are non-refundable for that session fee.
No-shows
If your attendees do not join a scheduled briefing or workshop without prior notice, the session fee is charged in full and is not refundable.
Work already started
Hours and milestones completed before cancellation are payable. We provide a written summary of completed stages upon request.
Refund process and timing
Approved refunds are processed within 14 business days of approval. Refunds return to the original payment method when possible; otherwise we arrange a bank transfer to the account you nominate in writing.
Exceptions
If illness or force majeure prevents either party from proceeding, we will propose a reschedule first. If rescheduling is impossible within 60 days, unused prepaid fees for unfinished stages are refunded.
